Add vaccination records
Keep each pet’s vaccinations on file so you can see at a glance who’s due. You can upload a record yourself, or text and email the owner a link to upload it.
Upload a record yourself
Section titled “Upload a record yourself”- Open the customer’s page and click the Pets tab.
- On the pet’s card, click Manage Vaccinations.
- Next to the vaccine (Rabies, Bordetella, Distemper, Parvo, or Other), click Upload. If there’s already a record, click Edit.
- Optional: click Click to select a file (optional) and choose a photo or PDF of the certificate, up to 10 MB.
- For Other, enter the Vaccine name.
- Optional: enter the Vet / clinic and the Issue Date.
- Enter the Expiry Date.
- Click Save.
Ask the owner to upload it
Section titled “Ask the owner to upload it”- Open Manage Vaccinations for the pet.
- Next to the vaccine, click Request (or Resend if there’s already a record).
Packyard tells you how it went out, for example Request sent by text. If nothing could be sent, you’ll see Request wasn’t sent: and the reason.
The owner gets a text, an email, or both, with a link. On that page they choose a photo or PDF of the certificate, enter the Expiry Date, and tap Upload Vaccination Record.
To ask again for every expired or unapproved record at once, go to the customer’s Overview tab and click Request from owner on the pet’s card. It skips records that are waiting for your review, and tells you whether the request went out.
Check what the owner uploaded
Section titled “Check what the owner uploaded”When an owner uploads a record, you get an email, and the record shows To review. It doesn’t count as valid until you approve it.
- Open Manage Vaccinations for the pet.
- Click the document icon next to the vaccine to open what they sent.
- Click Approve if it’s right, or Reject if it isn’t.
What the warnings mean
Section titled “What the warnings mean”Only rabies affects the warnings in Packyard:
- Rabies: a current rabies record is on file.
- Rabies requested: you’ve asked the owner, and they haven’t uploaded yet.
- Rabies to review: the owner uploaded a record, and it’s waiting for you to approve it.
- Rabies rejected: you rejected the record.
- Rabies expired: the rabies record has expired.
- No rabies record: there’s no rabies record at all.
These show on appointments and the calendar, and you can filter the Customers list by Rabies. They’re warnings only. They don’t stop you booking.
Ask owners before records expire
Section titled “Ask owners before records expire”Packyard can send the vaccination request for you before a record expires.
- Click the gear icon at the top right to open Settings.
- Under Reminders, click Auto.
- Next to Ask for updated vaccination records, choose 14 days before, 30 days before, or 60 days before.
Each record is asked about once per expiry date. The record stays valid until it expires. It’s off unless you turn it on.
- Resending keeps a valid record. The record stays valid until the owner uploads a newer one.
- Upload links expire 30 days after they’re sent. Click Resend to send a fresh link.
- If the owner never got the link, click Preview upload link under the pending request, copy the link, and send it yourself.
- To remove a record, click Edit, then Delete record.
- Requests use the Vaccination Record Request message in Settings → Reminders → Auto. If it’s turned off, nothing is sent.
- New to Packyard? Request texts and emails start once Packyard has set up your business’s texting number. Until then, use Preview upload link.
