Check in and check out

Each appointment moves through three steps: check in when the pet arrives, mark ready when grooming is done, and check out when the customer picks up and pays.

  1. Open the appointment. Either go to Appointments and click it on the calendar, or go to Today and click its card.
  2. When the pet arrives, click Check in. The appointment moves to In Progress. If the booking has several pets, tick the ones that arrived and click Check in.
  3. When the pet is done, click Mark ready. The appointment moves to Ready for Pickup.
  4. In Notify Customer?, click Notify to text or email the customer that their pet is ready, or click Skip.
  5. When the customer arrives, click Check out. The Checkout window opens.
  6. Check the services and prices. To add a discount, click + Add Discount.
  7. Choose how they’re paying: Terminal, Card on File, or Cash.
  8. Click Charge Now. For cash, click Complete Cash Payment.

When the payment goes through, the appointment moves to Completed.

  • Check in opens on the day of the appointment. For a later day, the button is greyed out.
  • Several pets from one family? Mark ready and checkout apply to all the pets together. Pets that were cancelled or marked as a no-show are left out.
  • Adding a service during the visit, like a nail trim: click the appointment and click Add under the services, any time before checkout. You can also change a price in the Checkout window.
  • Tips: for card on file and cash, enter the tip in the Tip field. On a Square Terminal, the customer adds the tip on the device. With a payment link or QR code, they add it on their phone.
  • Paying cash? Enter the amount in Cash received to see the Change due.
  • Receipts aren’t sent automatically. You can send one by text or email. See Send a receipt.
  • Clicked the wrong button? Change the appointment’s Status back in the appointment panel.
  • Setting Completed without checkout. If you pick Completed in Status and nothing has been paid, Packyard asks you to confirm. Use this only when the customer paid some other way or the visit was free.
  • Terminal only shows once you’ve paired an active Square Terminal, and Card on File only shows when the customer has a saved card. With Stripe, you’ll see Send Link and QR Code instead of Terminal. See Connect Square or Connect Stripe.
  • Only owners and staff can check out. Groomers can check in and mark ready, but Check out is greyed out for them.
