Take payment at checkout

When a pet is picked up, you check out the appointment and take payment in one step. The ways to pay depend on your payment processor:

  • Square: a Square Terminal, a card on file, or cash.
  • Stripe: Tap to Pay on your phone, a card on file, a payment link, a QR code, or cash.
  • The appointment needs to be Ready for Pickup. See Check in and check out.
  • To take cards, connect Square or connect Stripe. With Square you need a paired Square Terminal, or a card saved on the customer’s page.
  • Only owners and staff can take payment. For groomers, Check out is greyed out.
  1. Open the appointment and click Check out. The Checkout window opens.
  2. Check the prices under Services. You can change a price by typing in its box.
  3. Optional: click + Add Discount, choose % or $, and enter the amount.
  4. Choose how the customer is paying, then follow the steps below.
  1. Click Terminal and pick the Payment Device.
  2. Click Charge Now. The screen shows Waiting for customer on terminal…
  3. The customer chooses a tip and pays on the terminal.

When the payment goes through, you’ll see Payment completed successfully! If View Receipt shows, click it to open Square’s receipt, then click Close. Otherwise the window closes by itself.

To stop a payment before the customer pays, click Cancel Payment.

  1. Click Card on File and pick the card. The customer’s default card is already selected. Card on File only shows when the customer has a saved card. See Save a card on file.
  2. Optional: enter a Tip as a % or $ amount.
  3. Click Charge Now. The card is charged right away. There’s no second confirmation.

In the Packyard app on an iPhone or Android phone, enter the tip, tap Tap to Pay, and have the customer hold their card or phone against your phone. See Take payment with Tap to Pay.

Click Send Link to text or email the customer a link, or QR Code to show a code they scan. They add a tip and pay on their own phone. See Send a payment link and Take payment with a QR code.

  1. Click Cash.
  2. Optional: enter a Tip.
  3. Optional: enter the amount the customer handed you in Cash received. Packyard shows the Change due.
  4. Click Complete Cash Payment.

After payment, the appointment moves to Completed.

  • Click Charge Now once and wait for the result.
  • Closing the Checkout window while the terminal is waiting cancels the payment on the terminal.
  • If you click Cancel Payment and see “Couldn’t cancel”, the customer may have already paid. Packyard keeps checking the terminal and records the payment if it went through.
  • If the customer doesn’t pay within about 6 minutes, Packyard stops waiting and cancels the terminal payment. Click Charge Now to try again. If it can’t cancel, check the terminal or your Square Dashboard before charging again.
  • If a card is declined, you’ll see the reason, like Card not charged: The card was declined. Ask for another card, or use the terminal. With Stripe, the message says why, for example The card has expired. Ask the client for a new one. If you see The card needs the client’s approval. Send them a payment link instead., the customer’s bank wants them to approve it themselves. Send a payment link.
  • With Stripe, if you see “The bank is still processing this charge”, don’t charge again. The sale updates by itself when the bank answers. If you see Stripe didn’t confirm the charge. Try again: the card won’t be charged twice., click Charge Now again with the same tip.
  • Tip choices on the Square Terminal come from Settings → Integrations → Tip Settings. Until you save your own, the terminal offers 15%, 20% and 25%, plus a custom tip.
  • Several pets from one family are checked out together and paid in one payment, with one tip. A discount is shared across all the pets.
  • A changed price is saved on the appointment exactly as you typed it when you charge. If the payment is cancelled or doesn’t go through, the old price is put back.
  • Tax comes from the Tax (%) you set on your services. It’s added after the discount, and a percentage tip is worked out on the total including tax.
  • Setting an appointment’s Status to Completed without checking out asks you to confirm: This appointment hasn’t been paid. Mark it Completed without taking payment? Use this for visits paid outside Packyard or given free.
  • Reports count a payment on the day it went through, in your business’s time zone, not the day you opened checkout.
  • You can’t reopen a checkout after payment. To give money back, issue a refund.
  • There’s no split payment, gift card, or retail sale in Packyard.
