Save a card on file
A card on file lets you charge the customer at checkout without them handing over a card, and charge a no-show or cancellation fee. You can add the card yourself, or the customer can save it when they pay by link or QR code.
Before you start
Section titled “Before you start”- Connect Square or connect Stripe.
- Ask the customer first. With Stripe, the form says The client agrees that the salon may charge this card for visits and no-show fees.
Add a card
Section titled “Add a card”- Open the customer.
- Under Card on file, click Add card. The Add Payment Method window opens.
- Enter the card number, expiry date, and security code.
- Optional: enter the Cardholder Name. With Square, you can also enter the Billing Postal Code.
- Click Save Card.
You’ll see Payment method saved successfully, and the card shows under Card on file as the brand and last four digits, with the expiry date.
The customer saves their card
Section titled “The customer saves their card”When you send a payment link or show a QR code, the customer’s payment page has a box: Save my card with [your business] for future visits. If they tick it, the card is saved on their profile once they’ve paid. This only works with Stripe.
Manage cards
Section titled “Manage cards”- Default card: the first card you add becomes the default, marked Default. It’s picked automatically at checkout and for fees. To change it, click Set as default on another card.
- Delete a card: click the trash icon next to it, then Delete. With Stripe, the card is also removed from your Stripe account.
- The appointment shows a card badge. Card on file means the customer has a card you can charge. No card means they don’t.
- With Stripe, the same card is kept once. Saving a card that’s already on file updates its expiry date instead of adding a second copy.
- Cards belong to the processor they were saved with. After you switch from Square to Stripe, Square cards are hidden from the card list, checkout, and the fee dialog, and they come back if you switch back. Add the customer’s card again with Stripe. If you try to charge an old Square card, you’ll see This card was saved with Square and can’t be charged with Stripe. Add the card again.
- A card removed in your Stripe dashboard disappears from Packyard too.
- “That card belongs to a different client.” means the card form was opened for another customer. Close it and click Add card again on the right customer.
- “The card wasn’t confirmed. Try again.” means the card wasn’t approved. Check the details, or try another card.
- “Cards can’t be saved right now. Your payment provider is switched off.” means card payments are off for your business. Email support@packyard.app.
